In WHMCS, a quotation (also called Proposal or Draft Invoice) allows you to offer a client a service or product price before converting it into an official invoice.
Step 1: Login to WHMCS Admin Panel

Go to your WHMCS Admin URL (e.g.,
https://yourdomain.com/admin). -
Login with your Admin credentials.
Step 2: Go to Create a Quotation

Navigate to:
Billing → Create New Quote (or Quotes depending on WHMCS version) -
Click Create New Quote.
Step 3: Select Client

Choose the Client from the dropdown list.

If the client does not exist, create a new client first.
Step 4: Add Products/Services

Select the Products/Services you want to quote.

Enter:

Quantity
-
Price (customizable if needed)
-
Description
-
-
You can also add one-time fees or setup fees if applicable.
Step 5: Set Expiry & Notes

Set Quote Expiry Date (e.g., 7 days, 14 days).

Add internal notes (optional, visible only to admin).

Add client notes (optional, visible on quote PDF/email).
Step 6: Save and Send Quote

Click Save Quote.

WHMCS will generate a quote reference number.

You can:

Send to Client via Email
-
Download as PDF

Step 7: Convert Quote to Invoice (After Approval)

Once the client approves the quotation, you can convert it to an Invoice:

Go to Quotes → View Quote → Convert to Invoice

Review the invoice details and send it to the client for payment.
